Outbox is a native macOS assistant that connects your Gmail and calendar, records and transcribes your meetings, and uses AI to surface the action items, tasks, and follow-ups you'd otherwise lose track of — running locally on your Mac, powered by your own AI key.
Reads your Gmail (read-only) to surface what needs a response and to pull tasks and commitments out of your inbox — it never modifies or sends mail.
Records and transcribes your meetings on-device, then generates structured notes and summaries.
Extracts tasks and follow-ups from your email and meetings so nothing falls through the cracks.
Reads your macOS calendar to give meetings context and find availability — using Apple's on-device calendar, not a Google connection.
AI features run through your own Anthropic (Claude) API key, stored securely in your Mac's Keychain. You are always in control of your AI provider.
Your data lives on your Mac and, if you choose, syncs only through your own private iCloud. Outbox has no servers of its own.
Outbox connects to your Google account with your explicit consent, using Google's official OAuth 2.0 sign-in. Outbox is a local application: your email is fetched directly from Google's APIs to your Mac. Outbox operates no servers of its own, and your Google data is never sent to the developer.
Outbox requests the following permissions, and uses each one only as described:
| Permission | What Outbox uses it for |
|---|---|
gmail.readonlyRead your email |
Reads your Gmail messages to display and analyze them — surfacing messages that need attention and extracting tasks, action items, and meeting context. This scope is read-only: Outbox can never modify, send, delete, or otherwise change your email. Message content is never used for advertising or profiling. |
userinfo.emailSee your email address |
Identifies the connected Google account and labels which account your mail belongs to. |
userinfo.profileSee your basic profile info |
Displays your name and account so you can tell connected accounts apart in the app. |
Outbox's AI features (summaries, task extraction, drafting) work by sending the relevant content — which may include email text and meeting transcripts — to Anthropic's Claude API, using your own Anthropic API key that you provide and that is stored in your Mac's Keychain. This happens only to provide the features you use in the app. This data is not used to serve advertising, is not read by the developer, and is not used to train generalized AI models. Anthropic processes it under its API terms. If you don't configure an AI key, AI features are simply off.
